Purchase Order Finance for Confirmed Customer Orders

A confirmed customer order may support funding for eligible supplier costs before delivery and invoicing. NBS can review the transaction and possible finance routes; specialist purchase order funding depends on provider availability and assessment.

  • You have a genuine confirmed commercial customer order.
  • Supplier payments fall due before delivery and customer receipts.
  • The margin and fulfilment plan can be evidenced.

A forecast, unsigned opportunity or order value alone is insufficient. Buyer, supplier, delivery risk and economics all matter; specialist access is not guaranteed. NBS Finance is a commercial finance broker and introducer, not a lender.

How a purchase order funding transaction may work

  1. The customer confirms an order with clear quantity, price and delivery terms.
  2. The business obtains supplier quotes and identifies the cash needed to fulfil it.
  3. A potential provider assesses the buyer, supplier, order, margin and delivery plan.
  4. Accepted supplier costs may be funded under agreed controls, sometimes by direct supplier payment.
  5. Goods are supplied and delivered, with evidence that contractual requirements are met.
  6. The customer pays under the agreed terms.
  7. Funding is repaid or settled through the approved structure.

Providers do not all release unrestricted cash to the business or follow the same payment route. Understand who pays whom, when repayment is due and whether an invoice-finance component is needed after delivery. British Business Bank’s purchase order financing guide explains the broad model.

Worked order economics: revenue is not the funding limit

Hypothetical transaction, excluding VAT. The customer order is £100,000, supplier costs are £65,000 and other fulfilment costs are £10,000.

Illustrative order economics
Item Hypothetical amount
Customer order revenue, excluding VAT £100,000
Supplier costs −£65,000
Freight, duties and other fulfilment costs assumed here −£10,000
Amount remaining before overheads and finance costs £25,000

£100,000 − £65,000 − £10,000 = £25,000. This is not net profit or cash available to borrow. Finance charges and business overheads reduce the amount retained, and a provider may not fund every cost component.

Model delays, currency changes, returns and a lower margin. Compare the funding cost over the actual duration with the surplus after all transaction costs. A large order with inadequate margin may be less fundable than a smaller, well-evidenced one.

Purchase order finance and the alternatives

Choose a route for the actual timing gap
Route Typical starting requirement Distinction to check
Purchase order finance Confirmed buyer order before delivery and invoicing. Transaction-specific supply and fulfilment assessment.
Trade finance Purchasing or importing goods within a trading cycle. Broader trade structures and counterparty controls.
Supplier finance A supplier payment or purchasing commitment. Meaning varies; buyer-led supply-chain finance is a different arrangement.
Stock finance Inventory purchase or eligible stock holdings. Stock risk rather than necessarily one confirmed customer order.
Contract finance A contract with staged performance and payments. Services, labour and construction terms need separate assessment.
Invoice finance An eligible unpaid invoice following the relevant sale or service. It normally cannot finance an invoice that has not yet been raised.
Working capital loan A wider commercial cash-flow requirement. Repayment relies on assessed business affordability and terms.

Compare trade finance, supplier finance, stock finance and contract mobilisation. For an existing billed receivable, consider invoice finance; for a broader need, business loans may be assessed.

What affects eligibility?

  • A genuine, verifiable confirmed order and clear cancellation provisions.
  • A credible commercial buyer with a realistic payment obligation and credit profile.
  • A reliable, verified supplier and evidence the goods can be produced and delivered.
  • Purchase and sale prices, sufficient margin and an itemised funding requirement.
  • Delivery and acceptance terms, lead times, payment dates and documentary evidence.
  • Trading history, existing debt, security and the business’s ability to manage the transaction.
  • For imports: country, currency, freight, VAT, duties, sanctions checks and cross-border risks.

Manufacturer and wholesaler needs can differ; see manufacturing finance and wholesale and distribution finance. A provider’s product description does not prove that NBS has a placement channel for your transaction.

When it may not work

Unconfirmed or disputed orders, weak margins, unverified suppliers, difficult buyer terms or missing delivery evidence can make funding unsuitable. An order that can be cancelled before fulfilment creates a different risk from a firm obligation to pay.

Do not assume this funds every construction contract or unbilled labour requirement. Complex service contracts, staged applications, certification, retentions and performance conditions may require another structure. Future sales forecasts and deposits unrelated to a qualifying transaction are not automatically purchase order finance cases.

If delivery fails or the customer cancels, funding obligations can remain. Review who carries the loss, what security or guarantees apply and what happens to goods, refunds and repayment before accepting an arrangement.

Prepare the order and the cash-flow timeline

In the funding review, describe the confirmed order, business sector, approximate order value, supplier costs, funding requirement and expected delivery and customer-payment dates. Explain whether the order concerns goods, services or a mixture. Use best estimates and identify unknowns.

A detailed assessment may need the signed or accepted order, supplier quote or pro forma, buyer and supplier details, cost and margin model, terms, currencies, delivery evidence, trading accounts and existing commitments. Share business documents through an agreed secure process rather than placing confidential contracts in public notes.

Specialist purchase order finance is not available for every transaction. NBS can assess whether an appropriate provider route is available and may discuss another form of finance. Submitting an enquiry does not confirm funding availability.

Your questions, answered

Can I get finance with a confirmed purchase order?

The order can support an assessment but does not guarantee finance. Buyer quality, supplier reliability, margins, contract terms and fulfilment risk must be acceptable.

Does my business need a trading history?

Requirements vary by provider. A newer company can face additional scrutiny around experience, contribution, financial resilience and its ability to deliver.

Can the provider pay suppliers directly?

Some structures use direct payment or controlled transaction arrangements. Confirm the mechanism in the proposed agreement; do not assume cash is paid to your business.

Can it support imported goods?

An eligible import transaction may be considered, subject to supplier, country, currency, shipping, duty and compliance assessment. Cross-border availability is provider-specific.

Can it fund a construction contract?

Not automatically. Construction performance, labour, retentions and payment certification can fall outside goods-focused PO products. The contract and funding stage need separate review.

How does it differ from invoice finance?

PO funding concerns an accepted order before the sale is completed and invoiced. Invoice finance normally starts with an eligible unpaid invoice. Some transactions combine structures subject to agreement.

What if the customer cancels?

Cancellation may leave you with goods, supplier commitments and a funding repayment obligation. The contract and finance agreement determine remedies and who bears the loss; check them before committing.

What information will a lender need?

Typically the confirmed order, supplier evidence, costs, margin, delivery and payment terms, counterparties and business financial information. Exact requirements vary and sensitive documents should use the agreed secure process.

Review Funding for a Confirmed Order

Start with your business requirement, approximate amount and timing. NBS reviews the information and assesses suitable starting routes through lenders and specialist partners. Any offer is subject to the provider’s assessment and terms.

An enquiry does not commit you to accepting finance. Read the privacy notice and sharing authorisation in the enquiry before submitting.
